Process design for service businesses

The short answer

Process design is the work of mapping how your business gets work booked, delivered and paid, then redesigning those steps so they are clear, repeatable and not dependent on one person. It focuses on how the work should flow across the business, while workflow design in Operations builds specific flows into your tools.

Why process design matters as you grow

Small teams can run on informal habits because everyone talks to everyone. As the team grows, those habits break. Handoffs get missed, steps are done differently by different people and quality depends on who is working that day.

Process design makes the work explicit: what happens, in what order, who is responsible and what good looks like. It is the foundation for consistent service, faster training and useful automation.

It also makes improvement possible. A process that exists only in people's heads cannot be measured, compared or improved in any deliberate way. Once it is written down and agreed, the team can see where time goes and decide together what to change.

What we do

We work with the people who do the work, not just leadership.

  • Map current processes as they really run
  • Find delays, rework, handoff gaps and single points of failure
  • Separate what must be done by people from what can be systematized
  • Design the future process with clear roles and decision points
  • Define measures for each process
  • Plan the transition from the old way to the new one
  • Hand off to workflow build, documentation and training

Designing for real conditions

A good process works on a busy Monday, with a new hire and with an unusual customer, not just on paper. We test designs against real scenarios from your business, including the exceptions that cause most of the trouble.

We also keep processes as simple as possible. Every step and approval should have a reason. Bureaucracy is not the goal.

We pay particular attention to handoffs between people and departments, because that is where most delays and dropped work happen. Each handoff gets a clear trigger and a clear receiver, so nothing depends on someone remembering to pass it along.

From design to daily work

A process design only matters if it changes how work happens. We hand designs to workflow build in your platform, write the procedures and train your team, or support your team in doing those steps themselves.

We measure the process after the change and adjust where it is not working.

Signs it is time to fix this

Every team member does the same task a little differently.
Things go wrong when one key person is away.
New hires take months to become fully effective.
Work regularly gets stuck between people or departments.
