Workflow design for service businesses

The short answer

Workflow design is the work of mapping how a request moves through your business and rebuilding those steps so each one has a trigger, a responsible person and a next step. Unlike process design in Consulting, this service ends with the workflow built and running in your platform, with automations handling the steps that do not need a person.

What is a workflow?

A workflow is the path a piece of work follows: a new client onboarding, a project from kickoff to delivery, a request from intake to invoice. Each step has something that starts it, someone responsible for it and something that happens when it is done.

In many businesses, workflows exist only as habits. The steps are known by the people who do them, handoffs depend on someone remembering to pass things along and nobody can see where each piece of work stands.

The cost shows up as delay and rework. A new client waits a week for a welcome packet because the handoff was missed. A project sits in review because nobody knew it was ready. An invoice is not sent because the work was marked done in one place and not another.

What we do

We map the current workflow with the people who run it, then rebuild it in your tools.

  • Current workflow mapped step by step, including exceptions
  • Delays, duplicate steps and handoff gaps identified
  • New workflow with a trigger, responsible role and output for each step
  • Statuses that show where every item stands
  • Automations for routine steps and handoffs
  • Tasks and alerts for steps that need a person
  • Written procedure for the new workflow

Built, not just drawn

A workflow diagram on a wall does not change how work moves. We build the workflow into your platform: the statuses, tasks, automations, notifications and views. The system moves work forward and makes it obvious when something is stuck.

Your team tests the workflow with real work before it fully replaces the old way, and we adjust anything that slows them down.

We keep workflows as simple as the work allows. Extra statuses and approvals feel safe, but each one adds a place for work to wait, so every step has to earn its place.

Measuring the workflow

Once a workflow runs in your platform, it produces data: how long each step takes, where work waits and how often exceptions happen. We use that data to tighten the workflow and report the improvements in plain terms, such as faster onboarding or fewer delayed invoices.

When your services or team change, the workflow is updated to match.

Signs it is time to fix this

Work stalls because nobody knows whose turn it is.
The same handoff gets dropped again and again.
You cannot see where a project or request stands without asking someone.
New team members take months to learn how work really moves.

Questions

Workflow design: common questions.

All questions

Process design in Consulting decides how the work should flow across the business. Workflow design builds a specific flow into your tools and automates it. Many engagements use both.

Usually the ones closest to revenue or customer experience, such as onboarding, delivery and invoicing, or the one causing the most frustration today.

Yes. We map common exceptions and give them their own path, and anything unusual goes to a person with a clear task.
