Enrollment, records and parent communication for programs that serve kids

Childcare and education marketing and enrollment systems

Families choose a program for their child on trust, then judge it by how well you communicate. We help your program fill seats, keep enrollment paperwork complete and give parents the updates they expect.

Monvell builds the marketing, enrollment and parent communication systems that childcare centers, tutoring companies and enrichment schools run on. Parent trust and child safety come first in this industry, so every system is built around your licensing requirements, consent records and the way you protect children's information.

What matters most

What matters most to childcare and education programs

Every program that serves children answers to parents first, and many also answer to a state licensing agency. These are the concerns that shape how your marketing and systems should work.

01

Child safety and parent trust

Parents are handing you their child, so every touchpoint builds or erodes trust: how you answer an inquiry, who is allowed to pick up, how you share photos. One mishandled message about a child travels fast through a school community and can cost more than one family.

How we support itParent communication is built around your policies, with authorized contacts on file, approved templates for sensitive topics and a record of what was sent to whom.
02

Licensing, records and consent

Licensed childcare programs must keep required records for each child and staff member, and inspectors review them. Tutoring and enrichment schools face fewer state rules but still collect medical notes, emergency contacts and permission to photograph minors.

How we support itEnrollment forms collect each required document and signature once, flag what is missing or expiring and store it with access limited to the staff who need it.
03

Enrollment seasons and capacity

Seats are limited by licensed capacity, ratios, rooms or instructor schedules, and demand arrives in waves around the school calendar. Filling the right openings at the right time sets the year's revenue.

How we support itWaitlists, tour and trial booking and enrollment reporting by age group or class show where you have openings and move families into them in order.
04

Recurring tuition and retention

Most programs bill tuition weekly, monthly or by term, so a family that leaves or a card that fails affects revenue until the seat is filled. Families stay when they see progress and feel informed.

How we support itAutomated tuition billing with failed-payment follow-up, plus progress updates and re-enrollment reminders timed to your calendar.
The challenges

What holds education and childcare businesses back?

01

Inquiries arrive while staff are with children

Directors and teachers are in classrooms during the day, so calls and web inquiries wait until nap time or after pickup, and some families have already chosen another program.

02

Paperwork chases before the first day

Enrollment packets, immunization records, medical forms and signed policies arrive in pieces, and staff spend days following up on what is missing.

03

Parent updates spread across channels

Announcements go out by text, email, app and paper notes, so parents miss some and call the front desk to ask.

04

Families leave quietly

A family that stops attending or does not re-enroll often gives no warning, and the opening sits empty until the next enrollment push.

Before you ask

What education and childcare teams ask us first.

The concerns we hear most, answered up front.

QCan we keep children's photos and details private unless parents agree?

Yes. Photo consent is collected per child at enrollment and stored with the record, so staff can see who has opted out before anything is posted. Forms are built for parents to complete. The federal COPPA rule governs collecting personal information online from children under 13, and your counsel decides how it applies to any app or portal children use directly.

QWho on our team can see medical and custody details?

Access is set by role. Directors and assigned staff see what they need, and sensitive fields such as medical notes or custody documents stay hidden from general views. Every change to a record is logged.

QWill texting parents create legal risk?

Business texting requires consent and, in the US, a registered sender under A2P 10DLC. We capture consent at enrollment, register your number and honor opt-outs automatically, so messages go only to parents who agreed to receive them.

QWill this replace the management software we already use?

Usually not. Many programs already use an app for check-in, daily reports or classes, and we connect marketing, enrollment and billing around it where it allows connections. If a tool is holding you back, we explain why before recommending a change.

QDo you understand the rules licensed programs work under?

We build around the requirements you give us and your licensing agency publishes, such as required records and posted policies. We do not interpret regulations or certify compliance. Your director approves the forms and templates once, and the system uses only those versions.

Most enrollments start with a local search and a tour. Programs that answer inquiries quickly, make tours easy to book and publish clear information on ages, hours, safety and openings convert more of the families who find them. A managed waitlist then fills openings as they come up.

Choose one main channel families agree to, usually text or an app for urgent and daily updates and email for longer news. Consistent timing and templates for common messages help parents trust that they will hear about what matters.

Record each family's desired start date, age group and program, then offer openings in a set order with a deadline to accept. Regular check-ins keep the list current, so staff are not calling families who already enrolled elsewhere.

Yes. Families can store a card or bank account for automatic tuition on your schedule, with receipts sent automatically and reminders when a payment fails. Registration and supply fees can be handled the same way.
