Client portal setup for service businesses

The short answer

Monvell sets up a client portal: a secure login where your clients see their appointments, documents, invoices, forms and messages with your team. It gives clients a self-serve place to find answers, which cuts down on routine calls and emails to your staff.

At a glance
  • Portal setup with your branding
  • Feature selection based on your services
  • Client permissions and secure login
  • Invoice, document and appointment access

What is a client portal?

A client portal is a private area of your platform that clients log into. Instead of asking for a copy of an invoice, a document or their next appointment time, they open the portal and find it. For businesses with ongoing engagements, such as accounting, property management, coaching or long projects, it becomes the shared home of the relationship.

Because the portal reads from the same platform your team uses, what clients see is always current.

What clients can do in the portal

We switch on only the features that fit how you serve clients.

Most businesses start with three or four of these and add more once clients are used to logging in. Turning on every feature at once tends to confuse clients and creates more questions, not fewer.

  • See upcoming and past appointments, and book or reschedule
  • View and pay invoices
  • Download documents, reports and agreements
  • Upload files your team needs
  • Complete forms and questionnaires
  • Send secure messages to your team
  • Track the status of an active project or request

Setting it up so clients use it

A portal only helps if clients log in. We keep the first experience simple, send clear invitations, and point routine requests to it in confirmations, invoices and replies. Your team gets short scripts for directing clients there without sounding like a brush-off.

We brand the portal with your logo and colors and set permissions so each client sees only their own information.

What should go in the portal and what should not?

The portal works best for information clients look for again and again: appointment times, invoices, documents, progress on active work and messages with your team. Putting those in one place answers the questions your staff hear most often before anyone picks up the phone.

Some things belong elsewhere. Detailed clinical, legal or financial records may need to stay in the specialized system built for them, with the portal linking to them or showing a summary. Internal notes about a client should never be visible in the portal. We review each type of information with you before launch, set the visibility rules in the platform and test them using a sample client account, so you can see exactly what a client sees when they log in. When your services change, we update what the portal shows.

Signs it is time to fix this

Your team spends hours resending invoices, documents and appointment details.
Clients email large files back and forth.
Long-running clients ask for status updates every week.
Sensitive documents are shared through regular email attachments.

Questions

Client portal: common questions.

All questions

Clients log in with their own credentials and see only their own records. We set permissions carefully and review what types of information belong in the portal for your industry.

Usually not. Most portals work in a phone or computer browser, and some platforms also offer an app clients can use if they prefer.

Businesses with ongoing relationships or document-heavy work, such as accounting, legal, property management, coaching and long projects. Businesses with one-time visits may only need booking and confirmations.
