Intake, advertising and client updates for law firms

Law firm intake and marketing systems built around bar rules

Bar rules hold up best when intake, advertising and client updates run the same approved way for every matter. Our law firm intake and marketing systems screen conflicts before details are taken, publish only attorney-reviewed content and log every step.

Monvell builds law firm intake, marketing and client communication systems that follow your firm's ethics policies the same way every time. The most important concern is professional conduct: state bar advertising and solicitation rules, conflicts screening and client confidentiality, and our systems give your firm the control and records to keep them consistent.

What matters most

What matters most to a law firm

A law firm's reputation and license depend on how it advertises, who it takes on and how it protects what clients share. These are the areas our systems are built to control.

01

Advertising and solicitation rules

Every state bar limits misleading claims, regulates targeted solicitation and restricts live person-to-person solicitation for paid matters. In South Carolina, Rule 7.2 requires a lawyer to review each advertisement before it runs, name a responsible lawyer and keep a copy for two years after its last use, and Rule 7.3 requires an "ADVERTISING MATERIAL" label on targeted written and electronic solicitations.

How we support itAds, emails and follow-up sequences route to the responsible attorney for approval, only approved versions publish, and each version is archived with its approval date and where it ran.
02

Conflicts checks before intake goes deep

Under the prospective client rule (ABA Model Rule 1.18 and its state versions), what a prospect tells your firm can disqualify you from representing someone else. Firms protect themselves by collecting only what a conflicts check needs until the check clears.

How we support itIntake collects party names and matter type first, routes them to your conflicts process, and holds the detailed questionnaire until your team marks the check clear.
03

Confidentiality of client information

Rule 1.6 requires reasonable efforts to prevent unauthorized access to client information. Case details sent through unsecured email, texts on personal phones or a chat tool that stores conversations in the wrong place are common gaps.

How we support itWe set up a secure client portal for documents and messages, role-based access and sign-in protection, and keep case details out of marketing tools.
04

Trust accounting stays with your firm

Client funds and IOLTA or trust account records are governed by Rule 1.15 and your state's trust accounting rules, and they belong in your accounting or practice management software. Your vendor should never touch them.

How we support itWe keep our systems out of trust accounting entirely and connect only to contacts, matters and calendars in your practice management software.
The challenges

What holds law firms businesses back?

01

Urgent inquiries arrive at all hours

Arrests, accidents and family emergencies happen at night and on weekends. A firm needs a fast response that still follows its intake and confidentiality rules.

02

Intake forms ask too much too soon

A web form that invites a full story before a conflicts check can create a disqualification problem. A form that asks too little sends attorneys into consultations unprepared.

03

Advertising lives in many hands

Website copy, directory profiles, social posts and paid ads are often written by different people at different times. Without one approval record, no one can say what was reviewed.

04

Clients call for status updates

Clients who do not hear from the firm call and email to ask where things stand, which interrupts attorneys and staff and adds to unbilled time.

Before you ask

What law firms teams ask us first.

The concerns we hear most, answered up front.

QCould an automated intake create a conflict or a duty to a prospect?

It could if it asks for a full story up front, which is why we build intake in two steps. The first step collects only what your conflicts check needs, and the detailed questions open after your team clears the check. Your firm sets the questions and the rules.

QWill automated messages count as solicitation?

That depends on your state's rules and the message, so your attorneys approve every template and sequence before use. Automated follow-up goes only to people who contacted your firm, and targeted mailings can carry the labels your state requires.

QDoes the after-hours assistant give legal advice?

No. It answers general questions about the firm, collects contact and matter details, books consultations and escalates urgent situations by your rules. Legal advice comes only from your attorneys.

QWill you have access to our trust account or client funds?

No. Trust accounting stays in your accounting or practice management software. We connect only to the contacts, matters and calendars needed for intake and client updates.

The customer journey

Discovered, chosen, booked, and kept.

How a customer moves from first search to repeat business, and where law firms businesses win or lose them.

Step 1 of 4 · Discovered

Someone facing a legal problem searches for a lawyer in that practice area, often on a phone and under pressure. Clear, reviewed practice area pages and a strong Google profile bring them to your firm.

Questions

Law Firms questions, answered.

All questions

Each state adopts its own version of the ABA Model Rules 7.1 to 7.3. They prohibit false or misleading communications, regulate targeted solicitation and limit live person-to-person solicitation. Some states, including South Carolina, also require lawyer review and record retention for each advertisement.

Collect the names of the prospective client, adverse parties and related parties, plus the matter type, and run them against your records before taking detailed facts. Holding the full intake until the check clears limits what the firm learns from a prospect it may not be able to represent.

Many firms use answering coverage or an automated assistant that collects contact details and books consultations using approved scripts. Attorneys decide which situations warrant an immediate callback, and the assistant never gives legal advice.

Plain email is widely used but hard to control once sent. Many firms move document exchange to a secure client portal with sign-in protection and access logs, which supports the duty to make reasonable efforts to protect client information.
