Marketing review, archiving and onboarding for advisory firms

Financial advisor marketing systems built for compliance review

Financial advisor marketing holds up in an exam when every piece is reviewed before use and every client message is archived. We build systems that route content to your compliance officer, send only approved versions and keep business communication on archived channels.

Monvell builds financial advisor marketing, client communication and onboarding systems that run through your compliance review and keep the records your firm must retain. The most important concern is the SEC Marketing Rule, FINRA Rule 2210 and books and records requirements, so our systems send only approved content and archive every communication.

What matters most

What matters most to a financial advisory firm

Advisory firms are examined on what they say, how they say it and whether they kept a copy. These are the areas our systems are built to control.

01

The SEC Marketing Rule and FINRA 2210

The SEC Marketing Rule prohibits untrue or unsubstantiated claims and sets conditions for testimonials, endorsements and performance advertising. Broker-dealer reps follow FINRA Rule 2210, which generally requires a registered principal to approve retail communications before use. State-registered advisers follow their state securities regulator's rules.

How we support itNewsletters, posts, emails and web pages route to your chief compliance officer or principal, required disclosures are attached, and only approved versions can be published or sent.
02

Books and records and archived communications

SEC Rule 204-2 requires advisers to keep copies of advertisements and certain communications, generally for five years, and broker-dealers have parallel FINRA and SEC recordkeeping rules. Regulators have brought large enforcement actions over business texts sent through unapproved apps that were never archived.

How we support itClient texting and email run through firm-controlled channels connected to your archiving provider, and every approved piece is stored with its review record.
03

Client data and Regulation S-P

Amended Regulation S-P requires SEC-registered advisers and broker-dealers to maintain an incident response program and notify affected individuals of certain breaches within 30 days, with smaller firms required to comply by June 3, 2026. Account statements and onboarding documents traveling by email are an exposure point.

How we support itOnboarding and document exchange happen in a secure portal with multi-factor sign-in and access logs, and account details stay out of marketing tools.
04

Consistent client service as the book grows

Clients judge a firm on review meetings, follow-through and how quickly questions are answered. As households grow, consistency is harder to keep by memory.

How we support itReview meetings, required notices and follow-up tasks are scheduled by household with approved templates, so every client gets the same standard of service.
The challenges

What holds financial advisors and wealth management businesses back?

01

Compliance review slows marketing

When drafts move by email, review queues stall and advisors stop producing content. A clear review path makes approval faster without loosening control.

02

Texting happens off the record

Clients want to text their advisor. When advisors answer from personal phones, those messages are outside your archive.

03

Onboarding takes too many steps

Account paperwork, disclosures and document collection spread across emails and calls, which delays funding and frustrates new clients.

04

Referrals and testimonials carry conditions

Client testimonials, endorsements and paid solicitors are allowed under the Marketing Rule only with required disclosures and oversight, which many firms avoid rather than manage.

Before you ask

What financial advisors and wealth management teams ask us first.

The concerns we hear most, answered up front.

QWill anything go out that our CCO did not approve?

No. The system is set so only approved, locked versions can be published or sent, and any edit creates a new version that needs approval. Your compliance officer controls the release.

QWill client texts be archived?

Yes, when texting runs through the channels we set up. We connect business texting and email to your archiving provider so messages are retained under your policy, and we can block texting from unapproved channels in the process we design.

QWill an automated assistant give investment advice?

No. A website assistant answers general questions about your firm and process, collects contact details and books an introductory meeting. It is set to decline questions about specific investments and pass them to an advisor.

QCan you work with our CRM and custodian?

In most cases, yes. We design around the CRM, archiving provider and custodian you already use, connecting contacts, meetings and onboarding status where those systems allow it.

The customer journey

Discovered, chosen, booked, and kept.

Step 1 of 4 · Discovered

Prospects search for an advisor at life events such as retirement, a sale of a business or an inheritance. Approved educational content brings them to your firm.

All questions

The SEC Marketing Rule, Rule 206(4)-1 under the Investment Advisers Act, governs advertisements by SEC-registered investment advisers. It bans untrue and unsubstantiated statements and sets conditions for testimonials, endorsements, third-party ratings and performance presentation.

Business communications that fall under recordkeeping rules must be retained, and that includes texts. Regulators have fined firms heavily over business texts sent through unapproved apps, so most firms require texting through an archived, firm-approved channel.

Under FINRA Rule 2210, retail communications generally need approval by a registered principal before use, and some must be filed with FINRA. Interactive posts are treated differently, so firms set policies for each type of social content.

Under SEC Rule 204-2, advisers generally keep required records for five years from the end of the fiscal year of last use, with the first two years in an appropriate office of the adviser.
