Automated lead routing for service businesses

The short answer

Monvell sets up automated lead routing that sends every new lead to the right person, location or pipeline in seconds. Leads from calls, forms, chats, ads and referrals are sorted by rules your business sets, with the details and source attached.

  • Connection of every lead source
  • Instant notifications with lead details
  • CRM record and pipeline creation

What is lead routing?

Lead routing is the set of rules that decides who handles each new inquiry. It looks at what the lead asked for, where they are, how they found you and when they reached out, then assigns them to the right person or team and notifies them right away.

Without routing, leads pile up in a shared inbox or on whoever happens to see them first. Some get two replies, some get none, and nobody can tell which is which.

Routing also makes response time measurable. Once every lead has an assigned person and a timestamp, you can see how long each one waited for a first reply and where the delays happen, which is the first step to closing them.

Rules we commonly set up

Routing reflects how your business divides the work.

  • By service: each service line goes to its specialist or team
  • By location: leads go to the nearest office, studio or territory
  • By value: larger opportunities go to senior staff
  • By availability: round-robin among people on shift
  • By source: partner referrals to the partner manager
  • By time: after-hours leads to the assistant, then the morning queue
  • Escalation if a lead is not touched within a set time

Speed is the point

The value of routing is speed. A lead that reaches the right person in seconds, with the details and source attached, can get a real reply in minutes. A lead that sits in a general inbox for hours often goes to whoever answered first.

Every routed lead creates or updates a record in your CRM, starts the right pipeline stage and triggers the follow-up that fits it.

Routing rules can also reflect what the lead told you. Someone who asked about an urgent need, or a high-value service, can skip the round-robin and go straight to the person best placed to help, with a separate alert so it is not missed among routine notifications.

Keeping it fair and visible

Routing rules affect your team's workload and income, so we make them clear and visible. Managers can see who received which leads and how fast each was handled. Rules can be adjusted when people join, leave or change roles.

We review routing outcomes regularly to make sure leads are not getting stuck or overloading one person.
