Physical therapy practice marketing and patient systems

A physical therapy clinic grows on new evaluations, patients who finish their plan of care and referral sources who trust you with their patients. We build the systems behind each, with patient privacy and consent handled the same way every time.

Monvell builds physical therapy marketing, intake, scheduling and follow-up systems that help patients complete their plan of care and keep therapist schedules full. Everything is designed around patient privacy, payer requirements and the referral relationships your clinic depends on.

What matters most

What matters most to a physical therapy practice

Plan of care completion comes first, because outcomes, payer approvals and the schedule all depend on it. Referrals, payer rules, privacy and therapist capacity shape the rest.

01

Patients who complete their plan of care

A plan of care sets frequency, duration and goals, and patients who stop early often leave goals unmet. Many drop off once pain eases, or when scheduling, copays or travel get in the way. Each early discharge also removes visits the clinic had planned around.

How we support itVisits are scheduled to the plan's frequency, missed visits trigger same-day follow-up and patients receive home exercise reminders and progress check-ins. Your team sees a list of patients behind their plan before they become dropouts.
02

Referral sources, authorizations and payer rules

Many patients arrive by physician referral, and the referring office wants to know how its patients are doing. Payers set authorization and visit limits, and Medicare requires the plan of care to go to the referring provider within 30 days of the initial evaluation. Direct access rules also differ from state to state.

How we support itIntake captures the referral source, insurance and authorization details before the first visit. Where your EMR allows, we track authorizations and visits used, flag plans of care awaiting a response and keep referral partners updated in the format they prefer.
03

Patient privacy and consent

PT clinics handle protected health information in intake, reminders, exercise programs and reviews. Marketing messages need consent, and a review reply that confirms someone is a patient can disclose too much.

How we support itForms and texting run on tools that support a business associate agreement, reminders leave out diagnosis details and review replies use approved templates. Promotional messages go only to patients with consent on file.
04

Therapist capacity and schedule utilization

Therapist hours are the clinic's main capacity, and cancellations in a two or three visits per week plan add up fast. Clinics also need room for new evaluations without long waits.

How we support itConfirmation reminders with easy rescheduling, a waitlist that fills openings and reporting on arrival rates and evaluation wait times by therapist and location.
The challenges

What holds physical therapy businesses back?

01

Patients who stop before discharge

Patients feel better, get busy or hit a copay they did not expect, and stop scheduling. Without follow-up, they leave before reaching their goals.

02

Referral relationships that need steady attention

Physician and surgeon offices send patients to clinics they trust and hear from. Inconsistent updates or slow scheduling sends those referrals elsewhere.

03

Authorizations and visit limits

Running past an authorization or visit limit can mean unpaid visits. Tracking them by hand across therapists and payers invites mistakes.

04

New evaluations waiting too long

A patient who cannot get an evaluation soon after a referral may go elsewhere or not start care at all.

Before you ask

What physical therapy teams ask us first.

The concerns we hear most, answered up front.

QWill this work with our PT EMR?

We build around the EMR and scheduling system your clinic already uses and connect to it where it allows. Documentation and billing stay in your EMR, and we add the reminders, intake and reporting around it.

QHow do you send updates to referring providers without risking patient privacy?

Updates go through channels appropriate for protected health information, such as your EMR's secure messaging or a secure fax or portal, under rules your compliance lead sets. We do not send patient details through ordinary marketing email.

QCan automation keep us from going over authorized visits?

Where your EMR or billing system shares authorization data, we can track visits used against the limit and alert your team as a patient nears it. Your billing staff still decide how to handle each case.

QWill we be marketing to patients without permission?

No. Care reminders and promotional messages are kept separate, promotions go only to patients with consent on file and opt-outs stop messages right away. Every send is logged.

Questions

Physical Therapy questions, answered.

All questions

Every state allows some form of direct access to physical therapy, though many add limits on time, visits or conditions. Insurance plans may still require a referral for payment, so patients should check both.

Schedule visits to the plan of care up front, follow up the same day on missed visits and keep patients engaged with home exercise reminders and progress check-ins. Explaining costs before care starts also prevents surprises.

Fast evaluation scheduling, consistent progress updates to referring providers and good patient outcomes build trust with referral sources. Tracking referrals by source shows which relationships to invest in.

Medicare requires the plan of care to be certified, and the clinic must send it to the referring provider within 30 days of the initial evaluation. Since January 2025, a signed and dated order or referral in the record can meet the certification requirement when that timely transmission is documented.
