Member onboarding, retention and clean membership terms

Gym and fitness studio marketing and membership systems

A gym or studio grows when new members build a habit and stay. We build the intro offers, onboarding, attendance alerts and membership processes that keep members and keep your terms clear.

Monvell builds gym and fitness studio marketing and membership systems that bring in new members, onboard them well and keep them training. We lead with membership retention, supported by sign-up, renewal and cancellation steps and signed waivers that run the same way for every member.

What matters most

What matters most to a gym or fitness studio

Recurring membership revenue only works if members keep coming, so onboarding and churn lead. How members sign up, renew and cancel is now one of the most regulated parts of the business.

01

Onboarding that turns new members into regulars

Members who do not build a routine in their first weeks are the most likely to cancel. Many also shop around: the Health and Fitness Association found over 75% of studio users hold at least one other membership.

How we support itNew members get a planned sequence of welcome messages, a booked first session with a coach, and check-ins tied to their actual attendance.
02

Catching drifting members before they cancel

Attendance usually falls for weeks before a cancellation request. A personal check-in during that window is the best chance to keep the member.

How we support itAttendance data flags members whose visits drop below their normal pattern and sends a task to the right coach or front desk lead.
03

Sign-up, renewal and cancellation that follow the rules

The FTC's 2024 click-to-cancel rule was vacated by a federal appeals court in July 2025, and the FTC opened a new rulemaking in March 2026. The federal ROSCA law still requires clear terms, express consent and a simple way to cancel online sign-ups, and state laws add their own rules. South Carolina's Physical Fitness Services Act, for example, gives members a three-day cancellation window and sets rules for disclosing automatic renewal, a section the legislature rewrote in 2026.

How we support itYour approved terms show at sign-up, the member's consent is recorded, renewal notices go out on schedule, and cancellation requests are logged with a timestamp and confirmation.
04

Signed waivers before the first workout

A liability waiver only helps if the member signed the current version before training, and a guardian signed for any minor. Paper waivers go missing and old versions linger.

How we support itWaivers are part of sign-up and class booking, version-controlled, and stored on the member record so staff can confirm one exists before check-in.
The challenges

What holds gyms and fitness studios businesses back?

01

Intro offers that end without a membership

Trial members come a few times, nobody follows up before the offer ends, and they leave without an offer to continue.

02

Cancellations handled differently by each staff member

When cancellation depends on who is at the desk, members get mixed answers and the business has no clean record of the request.

03

Peak classes full, off-peak classes thin

Waitlists build at 6 a.m. and 5:30 p.m. while midday classes and open coach hours go unused.

04

Failed payments pile up

Declined cards, freezes and holds that are handled late turn into lost revenue and awkward conversations.

Before you ask

What gyms and fitness studios teams ask us first.

The concerns we hear most, answered up front.

QDo we still have to offer online cancellation now that the FTC rule was struck down?

ROSCA still requires a simple way to cancel for memberships sold online, and several states have their own auto-renewal or health club laws. Your attorney should confirm what applies to you. We build the cancellation and renewal steps your attorney approves and log every request.

QWill making cancellation easier increase churn?

A hard cancellation process rarely keeps a member who has decided to leave, and it tends to produce chargebacks, complaints and bad reviews. A clean cancellation step can include a pause or downgrade option where your terms allow it, and drift alerts reach members before they decide to go.

QCan you work with our gym management software?

In most cases, yes. Popular gym and studio platforms allow connections for members, bookings, attendance and payments. We build the onboarding, alerts and reporting around the system you already use.

QWho writes our waiver and membership agreement?

Your attorney does. We make sure the approved version is the one members sign, track which version each member signed and keep the records easy to pull.

All questions

Most churn starts in the first weeks, so a planned onboarding with a booked first session and coach check-ins does the most. After that, watch attendance and reach out personally when a member's visits drop.

No. A federal appeals court vacated it in July 2025, and the FTC began a new rulemaking in March 2026. ROSCA and state auto-renewal and health club laws still apply, so check with your attorney.

It depends on your state's law and how the waiver is written and signed. Have an attorney draft it, and make sure every member signs the current version before their first workout.

Book their first session before they arrive, introduce them to a coach, check in during the trial and present the membership offer before the trial ends. Track conversion by offer and coach to see what works.
