Digital inspections, recorded approvals and bay scheduling for auto repair

Auto repair shop systems for estimates, approvals and bay time

Your technicians find what the car needs. We build the auto repair shop systems that show the customer the photos, record their approval line by line and keep them updated until pickup, so the work gets approved and the bays stay busy.

Monvell builds the communication, booking and follow-up systems auto repair shops use to send estimates with inspection photos, record every customer approval and keep bays full. The most important concern for a repair shop is documented authorization before work, because many states regulate estimates and approvals and an unrecorded yes is the start of most billing disputes.

What matters most

What matters most to an auto repair shop

An auto repair shop depends on approved work, productive technician hours and customers who come back. Each of those starts with a clear, documented conversation about what the vehicle needs.

01

Written estimates and authorization before work

California's Bureau of Automotive Repair requires a written estimate, customer authorization recorded before work begins, and a new recorded authorization before any added work, including the approver's name, date, time and the number or email used for electronic approval. Florida requires a written estimate for most repairs over a set amount unless the customer waives it in writing. Other states vary, and a shop that records approvals the same way every time is protected wherever it operates.

How we support itEstimates go out by text or email, customers approve or decline each line, and the system stores the approval with the repair order. Added work triggers a revised estimate and a new approval request automatically.
02

Bay utilization and technician capacity

A shop sells technician hours, and every hour a bay sits empty or a car waits for approval is an hour that cannot be sold again. Matching appointments to technician skill and bay time keeps the schedule productive without overbooking.

How we support itOnline booking and request forms are limited by service type and available hours, and a fill-in list offers open slots to customers with pending or declined work.
03

Trust through digital inspections

A recommendation is easier to approve when the customer can see the worn brake pad or the leaking hose. Photos and short notes also give the shop a record if a customer later questions why work was done.

How we support itInspection photos and technician notes go to the customer with the estimate in a mobile-friendly link, grouped as needed now, soon and later.
04

Parts delays and status updates

Back-ordered or wrong parts can keep a car in the bay for days. Customers who are not told call the counter, and a long silence often becomes a negative review.

How we support itStatus texts go out when parts are ordered, delayed, received and installed, using wording your service manager approves once.
The challenges

What holds auto repair shops businesses back?

01

Approvals that live only in a phone call

Added work gets approved over the phone while the advisor juggles the counter. Without a record of who approved what and when, the invoice becomes the customer's word against the shop's.

02

Recommended work declined and forgotten

Customers decline repairs for budget or timing reasons, and the recommendation sits in the system with no follow-up until the part fails.

03

Advisors spend the day on status calls

Customers call to ask whether the car is ready, whether the part arrived and what the total is, which pulls advisors from writing estimates.

04

Uneven car count through the week

Monday is packed and Thursday has open bays. Without a way to offer open time to the right customers, those hours go unsold.

Before you ask

What auto repair shops teams ask us first.

The concerns we hear most, answered up front.

QWill a text approval count as authorization in our state?

Some states, including California, describe how electronic authorization must be recorded. We build approvals that capture the approver's name, date, time, the number or email used and the exact items approved, and we follow the wording your attorney or state agency requires. The shop stays responsible for meeting its state's rules, and the system makes sure the same steps happen on every repair order.

QDo we need to switch shop management software?

No. We work with your current shop management system and connect to it where it allows, usually for customers, vehicles, repair orders and appointments. If your system already sends inspections, we build around it rather than duplicate it.

QWill customers feel pressured by automated follow-up on declined work?

Follow-up is spaced out, explains why the item matters with the original photo and lets the customer schedule or opt out in one tap. Your service manager approves the wording and the timing before anything is sent.

QCan reminders work without accurate mileage?

Yes. Reminders can estimate mileage from the readings on past visits and fall back to time since the last service. Each reminder can ask the customer to confirm their current mileage, which improves the next one.

QWhat about fleet and commercial accounts?

Fleet customers can get their own booking rules, approval contacts, purchase order fields and service schedules. Approvals go to the person the fleet designates, and each one is recorded the same way as a retail approval.

Questions

Auto Repair Shops questions, answered.

All questions

In many states, yes. California requires the shop to get and record the customer's authorization for any added work or charges before doing it, and Florida's required disclosure lets a customer who waives a written estimate set a dollar limit the shop may not exceed without their written or oral approval. Check your state's rules and record every approval.

Send a short message a few weeks after the visit with the original photo, why the repair matters and a link to schedule. Repeat at a longer interval, or sooner if the item was close to failing.

Base reminders on each vehicle's estimated mileage and the time since its last visit, then send one reminder near the due point and a follow-up if they do not book. Too many reminders lead to opt-outs.

It is an inspection recorded on a tablet or phone with photos, videos and notes for each item, sent to the customer as a link. It helps customers understand recommendations and gives the shop a record of the vehicle's condition.
